Create and Complete a Work Order
For Admin, Office admin, Instructor
A work order tracks maintenance from start to finish: what needs doing, when the aircraft is down, and when it's back in service. You can start one from a squawk or from scratch, and completing it puts the aircraft back on the schedule.
Create a work order
- Open Maintenance and go to the Work Orders tab.
- Click Create Work Order.
- Pick the Aircraft and enter a Title, such as 100-hour inspection, and a Description.
- Choose a Category: Inspection, Engine, Avionics, Airframe, Electrical, Cabin, or Other.
- Set the Severity: Non-grounding (can still fly) or Grounding (can't fly until fixed).
- Set the Work order date.
- To keep the aircraft off the schedule while it's in the shop, fill in all four fields under Block the schedule (optional): Start date, End date, Start time, and End time.
- Click Create work order.
If you blocked the schedule, maintenance blocks appear on the aircraft's row for that window, and new bookings in that window show a conflict.
Start a work order from a squawk
Open the squawk in Squawks and click Make Work Order. The aircraft, title, and category are filled in, and the squawk's photos and video carry over. You can tap a photo to leave it out. The squawk shows as In progress while the work order is open.
Track the work
Open a work order to add notes and photos as the work goes. Click Edit to change the details or the status: Open, In progress, or Waiting on parts.
Complete the work order
- Open the work order and click Mark Complete.
- Confirm the Completed on date.
- Enter the Hobbs and Tach when the work was finished.
- If the work was an inspection, pick it under Inspection this completes. Sky Schedule marks that inspection done and starts its next cycle. Choose None, just this work order otherwise.
- Click Mark complete.
When you complete it:
- The squawk it came from is resolved.
- Its maintenance blocks come off the schedule.
- The aircraft is set back to Available, unless another open work order or open grounding squawk still keeps it down. The message tells you which one.
Tips
- Use the Inspection category for scheduled inspections so the right inspection is picked when you complete it.
- On the Work Orders tab, Export PDF gives you a record of resolved work.
Troubleshooting
- The aircraft didn't go back to Available. Another work order or grounding squawk is still open on it. Complete or resolve that one too.
- "Time slot unavailable" when saving. The block overlaps a booking. Move that reservation, or change the block dates.
- An hour-based inspection won't complete. Enter the meter that inspection is tracked by, such as Tach for a Tach-based 100-hour.
