Sky Schedule is flight school scheduling software that puts every aircraft, instructor, and meeting room on one schedule. It refuses to double-book an airplane, flags missing paperwork and overdue inspections before anyone walks to the ramp, and carries each reservation through check-out, Hobbs and Tach, and completion. The schedule the front desk opens at 7 AM is the same one instructors and students fly from.
Each tail, instructor, and meeting room has its own row, with day, week, month, and list views. Dual lessons, solo flights, rentals, discovery flights, ground sessions, and room bookings all start from the same dialog.
Repeat a booking daily, weekly on the days you pick, monthly, or every few days, and end it on a date or after a set number of lessons.
The database won't save a second booking on an aircraft that's already reserved. The booking form also warns about instructor, student, and room conflicts before you save.
Missing documents and endorsements show up when someone books, on the reservation itself, and again in the dispatch report.
Check-out records meter readings, the aircraft checklist, and a selfie if you require one. Completing the flight logs times and landings and updates the aircraft totals.
One click pulls METAR and TAF, a risk score, open squawks, overdue inspections, and document gaps into a short summary marked go, advisory, or no-go.
Click an empty slot on an aircraft row and a new reservation opens with the tail and time filled in. Pick the activity type (dual, solo, rental, discovery flight, ground, maintenance, or one you created), add the student and instructor, and save. A reservation can carry a second instructor or a second customer when a lesson needs one.
Instructors mark time off as an unavailable block, for one day, several days, or a recurring pattern, and it shows as a gray bar on their row.
Meeting rooms get their own rows once you turn them on. Book a briefing room or a ground school session, pick attendees from your roster, and Sky Schedule emails the host instructor and each student when the session is scheduled, changed, or canceled. Afterward, record who actually showed up.
Recurring bookings cover the student who flies every Tuesday and Thursday at 8. Choose daily, weekly on specific days, monthly, or every N days, and end the series on a date or after a number of occurrences (up to 52 weekly lessons or 12 monthly ones). Each lesson is its own reservation, so you can move one without touching the rest, and cancel that day only or that day and every one after it.
Some schools want students to own their schedule without letting them book anything, anytime. Turn on flight time requests and students get a Find a Time button next to New Reservation.
Students with booking permission can still book directly. You decide per customer category who books and who requests, and you can set a minimum advance booking time for aircraft and a minimum notice to cancel.
Most scheduling mistakes are cheap to catch at booking and expensive to catch on the ramp. Sky Schedule checks three things.
Conflicts. Aircraft double-booking is blocked at the database level. The booking form also checks instructors and students across every aircraft (including the second seat) and meeting rooms. When an overlap is intentional, click Override and save it on purpose.
Requirements. Activity types can require documents, answers, or endorsements. If a student is missing one, the booking form flags it before the reservation is saved, and staff decide whether to go ahead. Aircraft requirements, like an instructor sign-off or a checkout in that tail, mark the reservation with a warning and appear in the compliance panel and the dispatch report. Maintenance. Overdue inspections can either block booking or allow booking and block check-out and check-in. You can limit the block to certain activity types and let others, like a maintenance flight, through. Only an overdue inspection blocks; due soon is a heads-up. A grounding squawk puts a red marker on the aircraft and turns the dispatch report to no-go, and completing its work order returns the aircraft to Available once nothing else grounding it is still open.
The same reservation carries the flight out and back.
Connect Google Calendar and reservations are added to it and kept up to date as they change. For Apple Calendar and Outlook, download a reservation as an .ics file or use the Add to Calendar link in the email.
Change and cancel emails go to customers and instructors automatically. Sky Schedule waits for edits to settle, so a burst of quick changes becomes one email. Reminder emails go out 1, 2, 3, or 24 hours before a reservation, and you choose which activity types get them.
Students and instructors can view the schedule, request times, and check out and complete flights from the Sky Schedule iPhone app.
Yes, if their customer category has permission to create reservations. They book and manage their own flights within your rules. If you'd rather approve every booking, turn on Find a Time and students submit requests instead.
Yes. The database rejects an overlapping reservation on the same aircraft unless someone deliberately overrides it. The booking form also warns about instructor, student, and meeting room conflicts.
Book a maintenance reservation to block the aircraft for a window, or let overdue inspections block booking or check-out automatically. Grounding squawks mark the aircraft and turn the dispatch report to no-go until the work order is completed.
Yes. Each person can connect Google Calendar, and their reservations are added and updated there automatically. The sync runs one way, from Sky Schedule to Google. Apple Calendar and Outlook users can add reservations with an .ics file.
Yes. Once your people and aircraft are in Sky Schedule, future reservations can be imported from a CSV or Excel export of your previous software, with a preview before anything is saved.
