Flight School Billing Software That Invoices the Moment a Flight Ends

Flight school billing goes wrong in the gap between the flight and the invoice. Sky Schedule closes that gap: complete-flight creates the invoice from Hobbs or tach time, applies the right rate for the reservation type, charges the card on file if you choose, and updates the student's balance and the instructor's payroll in the same step.

How flight school billing should work

A single lesson can involve aircraft time at one rate, flight instruction at another, ground instruction at a third, plus a Hobbs or tach multiplier and any fees you configure, all split between a student's prepaid package and a card on file. Doing that by hand after every flight is how schools end up with unbilled hours and balances nobody can explain.

Sky Schedule prices the flight from the completed reservation. Rates come from the aircraft, the instructor, and the reservation type; adjustments are itemized; and the resulting invoice is visible to the student immediately in their portal or the iOS app.

Payments, balances, and block time

  • Card on file with automatic charge on completion, or manual approval if you prefer
  • Prepaid packages and memberships with recurring billing and discounted rates
  • QuickBooks Online sync for every paid invoice, package, and membership payment
  • Account statements students can see themselves, cutting 'what do I owe' calls
  • Refunds, credits, and adjustments with a full audit trail

Instructor payroll from the same data

Because instructors log flight and ground time on the reservation, payroll tracking is a report rather than a reconciliation. Fly Whiskey Tango runs instructor payroll out of Sky Schedule alongside renter checkout and scheduling, and Frost Aviation tracks payroll for a 15-aircraft operation the same way.

Leaseback statements owners trust

Leaseback aircraft need owner statements that show every hour flown, the revenue split, fuel, and maintenance deductions. Mach 1 Aviation moved 500+ people into Sky Schedule and now produces leaseback reporting from the same flight records that drive student invoices, so the numbers on the owner's statement are the numbers on the schedule.

Revenue reporting without the spreadsheet export

Billed versus collected, revenue by aircraft, by instructor, by reservation type, outstanding balances by student, and month-over-month trends are built in. Ask Arlo a question like 'what did we bill on the SR22 last month' and get the answer from your own data.

Flight school billing software: questions schools ask

Does Sky Schedule process card payments?

Yes. Students keep a card on file, and invoices can be charged automatically when a flight is completed or approved manually by staff.

Can we sell prepaid packages or memberships?

Yes. Packages and memberships are created in Billing, support recurring payments and discounted rates, and every payment syncs to QuickBooks Online if connected.

Does billing handle different rates for flight, ground, and instructor time?

Yes. Aircraft time, flight instruction, and ground instruction are itemized separately with their own rates, plus Hobbs or tach multipliers and any fees you configure, including cancellation fees.

Can it produce leaseback owner statements?

Yes. Leaseback reporting is generated from the same completed-flight data that drives invoicing.
