Flight school reporting in Sky Schedule comes straight from the records your staff already keep: completed flights with Hobbs and Tach, invoices and payments, squawks and inspections, leads, and lesson logs. The Charts tab shows how the month is going at a glance, the Database tab builds a custom report in a few clicks, and the standard reports can arrive in your inbox as a CSV on a schedule. Payroll and leaseback owner statements are built from the same data, so nobody rebuilds them in a spreadsheet at the end of the month.

What the Charts tab shows

Open Reports and the first tab is Charts. Across the top are total flights, aircraft utilization, flights this month, and gross volume. Below that, each card answers one question:

  • Flight hours over time, with a map of the airports your flights touched.
  • Flight activity, a heatmap of the last 5 weeks, and flights by day, this week against last week.
  • Month pace, comparing this month's hours and revenue to last month.
  • Collected revenue and gross volume, plus revenue by aircraft.
  • Hours by aircraft and hours by activity (dual, solo, rental, discovery flights, and whatever activity types you use).
  • Fleet utilization by month for the last 6 months.
  • Customers flying, top instructors, and top customers by hours.
  • Discovery flight conversion, a funnel from lead to contacted, booked, flew, and converted, for schools using the CRM.
  • Memberships, showing monthly recurring revenue from membership dues.

Filters apply across the page, and the main charts open full screen for a closer look. The Overview dashboard has its own row of 4 metric cards that you pick from a list, including scheduled today, outstanding invoices, payments this month, and pending reservations.

Flight school reporting you build yourself

The Database tab is for questions the charts don't answer. Pick a dataset, such as flights, reservations, invoices, payments, account balances, the balance ledger, customers, instructors, aircraft, squawks, work orders, inspections, training enrollments, lessons, ground training, payroll, timecards, or leads. Choose the columns you want, add filters, and either look at the rows or group them into a summary by month, aircraft, instructor, status, or another field.

A few reports schools run most:

  • Unbilled flights. Completed flights that haven't been billed yet, so none go out free.
  • Aircraft utilization. Flight hours against scheduled hours for each aircraft by month.
  • Revenue summary. Billed, paid, and outstanding by month.
  • Student billing. Invoiced, paid, outstanding, and prepaid balance for each student.
  • Instructor activity. Flight and ground hours with the number of unique students for each instructor.
  • All maintenance. Squawks, work orders, and inspections for the fleet in one export.

Export the result as a CSV with every row, a PDF, or print it. To get a standard report regularly, choose Email or schedule: run it once or daily or on a chosen weekday at a set time, pick the period (last 7, 14, or 30 days, this month, or the current or previous work week), and send it to specific people, all admins, or both. The CSV arrives as an attachment.

Other tabs cover the questions that come up in an audit or a dispute: canceled reservations with the reason and any cancellation fee, voided reservations, an email log of what Sky Schedule sent, and the TSA report.

Payroll, timecards, and leaseback

Instructor payroll. Run payroll for one instructor or all of them over a date range. Each flight shows flight, ground, and miscellaneous instruction hours, and you can set pay rates per type, including a separate rate for an instructor's own students. Export to PDF or CSV, or set payroll to run on a schedule. If you allow it, instructors can see their own payroll report and nobody else's. Schools that pay by the clock can turn on Instructor Time Tracking, where instructors clock in and out and admins see the timecards.

Leaseback owner statements. For each leaseback aircraft, a short wizard picks the reporting period, what to include, and any documents to attach. The PDF can include the flight log, paid invoice detail, revenue from aircraft rental, flight instruction, and ground instruction, the expenses you set up for that aircraft (one-time or recurring daily, weekly, or monthly), maintenance history, and an hour breakdown of rental, maintenance, owner, and instructor hours.

Fleet PDFs. The Sheet tab, a spreadsheet of every completed flight, can also produce an aircraft hours report as a PDF. In Maintenance, the fleet inspections report can be emailed as a PDF on a schedule, such as every morning.

Who sees what

Reports show financial data, so only the school's owner admin can turn on Can View Reports for anyone else. Instructors only see what that permission allows, and students never see Reports.

Reports live in the web app. Arlo, the in-app assistant, can answer questions about the same chart data, and AI agents connected through Sky Schedule's MCP server can list and run reports for a date range. The developer docs cover the report tools and the read-only API.

Questions, answered

Can I see aircraft utilization by tail number?

Yes. The Aircraft Utilization report compares flight hours to scheduled hours for each aircraft and month, and the Charts tab shows hours and revenue by aircraft plus fleet utilization over the last 6 months.

Can reports be emailed automatically?

Yes. The standard reports can run daily or on a chosen weekday at a set time, for a rolling period like the last 7 days or this month. Sky Schedule emails the CSV to the people you pick and to all admins if you want.

Does Sky Schedule do instructor payroll?

It calculates what to pay. Payroll totals flight, ground, and other instruction hours per instructor, applies the rates you set, and exports to PDF or CSV. You still run the actual paychecks through your payroll provider.

Can I send leaseback owners a monthly statement?

Yes. The leaseback report builds a PDF for each aircraft with flights, revenue, expenses, maintenance, and an hour breakdown, and you can attach documents like fuel receipts or invoices.

Can I export everything to a spreadsheet?

Yes. Every dataset in the Database tab exports to CSV with all rows, and so do the Sheet of completed flights and payroll. Most reports also export to PDF.
