Track Parts and Supplies Inventory

The Inventory tab in Maintenance keeps count of the parts, tools, supplies, and consumables your shop has on hand, where each one is stored, and its condition. Set a low-stock level and Sky Schedule flags anything running low. A general item like oil can count down on its own from a number entered when a flight is checked out or completed.
Add an item
- Open Maintenance > Inventory and click Add Inventory.
- Choose the Type:
- Part: a specific part for certain aircraft, such as a vacuum pump or brake pads.
- General: a shared item such as oil.
- For a part, enter the Part number if you have one.
- Enter the Name and an optional Description.
- For a part, pick a Category: Part, Tool, Supply, or Consumable.
- Set Alert when stock drops below.
- For a part, turn on each aircraft it fits, or turn on All aircraft.
- Under Initial stock (optional), enter a Quantity and Location.
- Click Save.
Count general items from flights
For a General item, turn on Correlate with a flight field and choose one of your number fields, such as quarts of oil added. When that number is entered at check-out or when the flight is completed, the quantity goes down by that amount.
This option shows when your school has a number field in Settings > Complete Fields or Checkout Fields. Type a name like Oil and Sky Schedule may suggest the matching field for you.
Update stock
Open the row menu on an item:
- Part details: the item's details and Recent transactions, with the Date, Type, change, quantity After, and Reason.
- Edit part: change the name, category, alert level, or aircraft.
- Add stock location: stock the same item in another place, with a Quantity and Condition (New, Serviceable, or Unserviceable).
- Adjust quantity: enter the New quantity and an optional Reason, such as used on a work order.
- Move location: move stock from one location to another.
Find what's running low
Items are grouped under General, All inventory, and one group for each aircraft. When anything drops below its alert level, a banner at the top says something is running low. Use Search inventory... to find an item by name.
Tips
- Add a Reason every time you adjust a quantity. It shows in Recent transactions, so you can see where stock went.
- Expand an aircraft's group to see only the parts that fit it, which helps when you plan a work order.
Troubleshooting
- "Select at least one aircraft or turn on All aircraft." A part needs at least one aircraft. Turn on the ones it fits, or All aircraft.
- Correlate with a flight field isn't there. Your school has no number field in Complete Fields or Checkout Fields, or the item's Type is Part.
- The count didn't go down after a flight. The correlated field was left blank at check-out or completion.
