Test, Run, and Pause a Workflow

Once a workflow exists, you can check exactly what it would do before it emails anyone, run it on demand, and turn it off and on. Everything happens on the workflow's own page.
Open a workflow
- Open Workflows near the bottom of the sidebar.
- Click a workflow in the list. The list shows each one's Runs, Status, and who created it.
Preview it
Click Preview. Sky Schedule works out what would happen if the workflow ran right now and lists who would be emailed and why. Nothing is sent or changed. Use this first, especially for workflows that email customers.
Send a test run
Click Test. A test run:
- Sends emails meant for a fixed list (you, admins, staff groups, picked people, or typed addresses) to you only, with "[Test]" at the start of the subject.
- Doesn't send emails meant for each person in the results. The log shows how many people would have gotten one.
- Doesn't change settings, statuses, lead notes, or reservation tags.
- Still creates any admin notifications and tasks in the workflow.
If you edited the workflow, click Save Changes first. Test and Run Now only appear when there are no unsaved changes.
Run it now
Click Run Now, then confirm. This sends real emails and makes real changes, exactly as configured. Manual workflows only ever run this way.
Turn it off or on
Use the switch next to the status. Active means it runs on its trigger. Paused means it doesn't run until you turn it back on. Every new workflow starts active.
The panel next to the switch also shows Next run for scheduled workflows, the number of Runs, the Last run, and the Type: Scheduled, Instant, or Manual.
Edit it
Click any card to change it, or type a change in Ask Arlo to adjust it…. Click Save Changes to keep your edits, or Discard to throw them away.
Read the log
The Log lists every run with When, Trigger, Status (Success, Failed, or Skipped), What it did, how many Emails went out, and how long it took. Open a row to see each step's result.
Delete it
Click the trash can and confirm. This stops the workflow and removes its run history. It can't be undone. To keep the history, pause it instead.
Limits
- One run emails at most 150 people individually.
- Your school's workflows can email at most 400 people individually per 24 hours. After that, runs fail until the window resets.
- Emails to a fixed list, like you or all admins, don't count toward these limits.
Troubleshooting
- "Save your changes first." Click Save Changes, then Test or Run Now.
- A run is Skipped or emails nobody. The Find step had no matches, so a condition stopped it quietly. Check the filters with Preview.
- "No recipients with an email address." The people it found have no email on file. Add emails to their profiles.
- "Daily workflow email limit reached." No emails went out. The limit resets 24 hours after the earlier sends.
