Verify a Document

For Admin, Instructor

Every uploaded document starts as Not verified. After a staff member looks at the actual ID, medical, or certificate and confirms it matches the person, they mark it Verified. That way everyone on staff knows which documents have been checked.

Steps

  1. Open Customers (or Instructors) and click the person.
  2. Open the Documents section of their profile.
  3. Click the document to open the preview.
  4. Check the document: name, certificate number, class, and expiration date.
  5. In the status menu at the top of the preview, choose:
    • Verified if it checks out.
    • Needs attention if something's wrong, such as a blurry scan or the wrong date.
    • Not verified to undo a status.

You'll see Status updated when it saves.

You can also verify from Compliance > Customer documents or Instructor documents. Click Open on the person, then open the document.

Upload and verify for someone else

If a customer hands you their medical at the front desk:

  1. In their Documents section, click Add document.
  2. Pick the type, upload a photo or scan, and enter the expiration date.
  3. Click Upload. It's saved as Not verified.
  4. Open it and set the status to Verified once you've checked the original.

Who can verify

Admins and instructors can verify documents. Nobody can verify their own document, even an admin. If you try, you'll see "You can't verify your own document. Ask another staff member to check it."

Tips

  • Check the expiration date while you're verifying. If it's wrong, fix it in the document before marking it Verified, since the Compliance dashboard and expiration reminders use that date.
  • Signed documents sent with Send Document also start as Not verified.

Troubleshooting

  • The status menu is missing. The document belongs to you. Ask another staff member to verify your own documents.
  • The preview won't load. Use Download to open the file on your computer.
