Import Data From Your Previous Software

If you're switching from your previous software or a mix of spreadsheets, the Migration tools bring your data into Sky Schedule from export files. Most imports take an Excel or CSV file (.xlsx, .xls, or .csv), show you a preview, and only save after you confirm.

Before you start

Export what you need from your old system. Every import is matched against data already in Sky Schedule, so the order matters:

  1. People first.
  2. Aircraft next, or add them by hand. See Add Aircraft to Your Fleet.
  3. Then Schedule, Invoices, Balances, Inspections, CRM, and Training.

Open Migration

Open Settings and choose Migration. Each kind of data has its own tab, with the steps for that import shown at the top.

What each tab imports

  • People: a contact report of your active members. Drop the file in, check each person's Role (Customer, Instructor, Office admin, or Skip row), and click Save import to list. Then send sign-up invitations from the migration list when you're ready.
  • Aircraft: an aircraft list with tail, make, model, rate, Hobbs, Tach, and availability. Review tails, rates, meter readings, and grounded or available status before you import.
  • Schedule: future reservations from a reservation report. Aircraft and instructors are matched by name, and activity types are mapped automatically. Keep completed and checked-out rows in the file so they still import.
  • Invoices: an invoice or sales report with every charge line. Customers must already be in Sky Schedule.
  • Balances: a sheet with a name and a balance amount. Each row is matched to a customer or instructor, and you can change a match before importing.
  • Inspections: inspection reminders from your maintenance tracker, with aircraft, reminder, due date, and Hobbs or Tach. Every tail number must already exist under Aircraft.
  • CRM: a lead or contact list with name, email, and phone. Review each row and skip duplicates.
  • Training: training history, where supported, either pulled from your previous software with its company ID and key, or built from its export files (sessions, enrollments, lessons). You match each record to a customer before it's imported.

Invite your people

Imported people aren't emailed automatically. From the People tab, select people and send invites. They create their login from the email, then sign in at your school from then on.

Tips

  • Filter your contact export to active members so old contacts don't come along.
  • Do a small test file first if your export is large. Big files can take up to two minutes to read.
  • Admins can always use Migration. Instructors need Can View Migration and Can View Settings turned on.

Troubleshooting

  • A schedule row shows Not detected. That aircraft, instructor, or customer isn't in Sky Schedule yet, or the name is spelled differently. Add or rename it, then upload the file again.
  • Inspection rows won't match. Add the aircraft first, then match each row to a tail.
  • Someone didn't get an invite. Check the email on their row in the migration list and resend.
