Set Up Your Flight School

Setting up your flight school in Sky Schedule takes a few steps: create the account, add an aircraft, fill in your school details, then bring in your people. Most schools have the schedule running the same day.

Create your account

1. Go to the Sky Schedule sign-up page and enter your Flight School Name, First Name, Last Name, Email Address, Phone Number, and a Password (at least 8 characters).
2. Click Get Started.
3. Open the verification email and confirm your address, then sign in.

Add your first aircraft

After you sign in, Sky Schedule asks for your first aircraft.

1. Enter the Aircraft Model and Tail Number, then click Continue.
2. Add what you know under Technical & Operations: Year, Hourly Rate ($), and Engine Type. You can fill in the rest later.
3. Click Continue. Use Add Another Aircraft for the rest of your fleet, or add them later from Aircraft.
4. Click Start 30 Day Free Trial and finish checkout. You land on your dashboard when the subscription is ready.

Fill in your school details

Open Settings from the profile menu at the bottom of the sidebar, then choose Organization.

• Organization name: used on invoices, emails, and your booking page.
• Home airport (ICAO): the airport used for weather, the Overview map, and dispatch.
• Time zone: schedules and reports use this zone. Set it before you book anything.
• Office phone (invoices), Office email (invoices), and Mailing address: printed on invoices and receipts.
• Google Maps URL: your Google Business Profile link, used to ask for reviews.

Click Save Changes.

Bring in your people and data

1. Invite instructors and office admins. See Invite Instructors and Office Admins.
2. Invite customers or share your sign-up link. See Send a Sign-Up Link.
3. If you're moving from other software, use Settings > Migration to import people, aircraft, inspections, and future reservations. See Import Data From Your Previous Software.

Set your rules

• Settings > Activity Types: the kinds of reservations your school books. See Set Up Activity Types and Booking Rules.
• Settings > Scheduling: advance booking notice, cancel notice, and other booking rules.
• Settings > Permissions: what each customer category and your instructors can do. See Roles and Permissions Overview.
• Billing: connect Stripe to take payments. See Connect Stripe to Accept Payments.

Tips

• Set each aircraft's current Hobbs and Tach before the first flight so check-out readings and inspection due times start out right.
• Add your logo under Settings > Customization > White Label so the sidebar and sign-up pages show your school. See Add Your School's Logo and Name.

Troubleshooting

• The Overview map or weather is blank. Add your Home airport (ICAO) in Settings > Organization and click Save Changes.
• Times look off by a few hours. Check Time zone in Settings > Organization.
• A new person created their own school by mistake. Customers and instructors must join through your school's sign-up link or an invitation, not the main sign-up page.
