Upload a Medical or Document on iPhone

For Instructor, Student, Renter

Your school keeps your medical, certificates, and ID on file so it can check them before you fly. You can upload a new one from your iPhone or iPad, including a photo you take of the paper document.

Open Documents

  • Customers: tap the menu button and choose Documents.
  • Instructors: tap your name at the bottom of the menu to open your profile, then tap Documents.

The page also shows Activity Requirements and Aircraft Requirements if your school has them, so you can see what's still due.

Upload a document

  1. Tap Upload Document.
  2. Under Document type, pick the Type, such as Student Pilot Certificate, Driver's License, Passport, or TSA Citizenship Verification. Pick Other and enter a Document title for anything not on the list.
  3. Under Expiration, set the Expiration date, or turn on No expiration.
  4. Under File, tap Choose photo to use a picture from your library, or Choose file for a PDF or image saved in Files.
  5. Tap Upload.

You can upload PDF, PNG, JPG, GIF, and HEIC files. Photos from your library are converted to JPG for you.

Upload a medical certificate

  1. Tap Upload Document and pick First-Class Medical Certificate, Second-Class Medical Certificate, or Third-Class Medical Certificate.
  2. Under Medical certificate details, add the Certificate # if you like.
  3. Check Date of birth and enter the Exam date from the certificate, both as YYYY-MM-DD.
  4. Tap Calculate expiration dates. The app fills in 1st class expires, 2nd class expires, and 3rd class expires using the durations in 14 CFR 61.23, including the shorter ones for pilots 40 and older.
  5. Add any Restrictions / limitations printed on the certificate.
  6. Choose the photo or file and tap Upload.

A first-class medical drops to second-class and then third-class privileges over time, so the app records all three dates. Your school sees when each one runs out.

What happens next

Your school sees the new document on your profile. Admins may get an email that you uploaded it, and they can mark it verified. See Verify a Document.

If your school runs an expiring-document workflow, you'll get an email before the next expiration date. See Track Medicals and Document Expirations.

Tips

  • Lay the document flat in good light and fill the frame before you take the photo.
  • Upload the renewed copy as soon as you have it. The latest copy is the one your school checks.

Troubleshooting

  • "Enter the exam date shown on the certificate before calculating." Fill in Exam date, then tap Calculate expiration dates again.
  • Upload stays gray. Choose a photo or file first. For Other, also enter a Document title.
  • You see Finish your school onboarding. Your school needs more from you on the web. Tap Finish onboarding to open it in your browser.
  • There's no Documents in your menu. Instructors find it in their profile, not the menu.
