Send a Document for Signature
For Admin, Instructor
Use Send Document when you need one person to sign something that isn't part of onboarding: a rental agreement addendum, an updated policy, or a training agreement. They sign on the document itself, and the signed copy lands on their profile.
Before you start
The person needs an email address on their profile.
Steps
- Open Customers (or Instructors) and click the person.
- Click Account, then Send Document.
- In Send document to, enter a Title, such as "Rental agreement addendum".
- Add an Introduction telling them what to do.
- Under Document, choose the PDF or image (PNG, JPG, or WEBP, up to 15 MB).
- Click Send document.
You'll see Document sent. They get an email with a link to sign in, or to create an account if they don't have one yet.
What the recipient does
- They open Documents and the For You tab, which opens on its own when something is waiting.
- They click View and sign on document, draw their signature directly on the document, and save it with Send Signed Document.
- They see a confirmation that the signed copy went back to the school.
Where the signed copy goes
- The signed document is saved in the Documents section of their profile. Until they sign, it shows as sent and awaiting signature.
- Admins get an email when it's signed.
- The signed copy starts as Not verified. Open it and set it to Verified after you've checked it. See Verify a Document.
Tips
- For documents everyone signs, add a View and sign step to your onboarding form instead. Onboarding also offers Click to sign and a signature box.
- When terms change, send the updated document the same way.
Troubleshooting
- "No email on profile." Add an email with Account > Edit Profile, then send again.
- "Document required." Choose a file before clicking Send document.
- The file won't upload. Use a PDF, PNG, JPG, or WEBP under 15 MB.
