Request a Card on File

A card on file lets you charge a customer after each flight instead of waiting on a payment link. You can ask the customer to add one themselves, or enter it for them when they've agreed.
Before you start
Stripe must be connected, and the customer needs an email address on their profile.
Ask the customer to add a card
- Open Customers and click the customer.
- Click Account, then Request Card.
- In Request card on file?, leave Send email checked to email them. Uncheck it to only flag the account.
- Click Send request (or Mark requested if you unchecked email).
You can also request a card from Billing > Accounts (open the customer and click Request card), or from the Enroll People dialog when you sign someone up for a membership or package.
What the customer does
- They get an email saying your school requested a card on file, with a button to open their dashboard.
- In the sidebar, Invoices shows a badge. They open the Billing Information tab.
- A banner reads "Your school has requested that you put your card on file." They click Add Card, enter the card, check the consent box, and click Save card.
The request clears as soon as a card is saved.
Add a card for the customer
Use this when the customer is at the front desk or gave you their card details and agreed to keep it on file.
- Open the customer's profile and click Add Card.
- Enter the card in the secure Stripe field.
- Check Student has consented to saving card on file. The Save card button stays off until you do.
- Click Save card.
Ask every new customer automatically
Open Settings > General and turn on Require card on file. New customers see a reminder on their Invoices page until they save a card. You can also add a Card on file step to your onboarding form. See Build an Onboarding Flow.
Troubleshooting
- Request Card is grayed out. The customer has no email on their profile. Add one with Account > Edit Profile.
- "Student does not have an email on file." Same fix as above.
- "Payment form is still loading." Wait a moment for the secure card field to appear, then try again.
- Customers can save a primary and a secondary card. A secondary card needs a primary card first.
