What Arlo Can and Can't Do

Arlo reads your school's data and can take a short list of actions for you. Every action waits for you to confirm it. This article lists what Arlo can do, what it won't do, and the daily limits.

What Arlo can look up

  • Today's flights, the schedule for any day, and upcoming reservations.
  • Customers and instructors, including contact details.
  • Aircraft status, Hobbs and Tach, inspections coming due, squawks, and work orders.
  • Invoices, account balances, and package hours left.
  • CRM leads, for people with CRM access.
  • Flight history and ADS-B flight tracks, shown on a map.
  • Expiring medicals, IDs, and other documents.
  • Weather for your home airport, from the METAR and TAF.
  • Report data, shown as a chart.
  • Why someone can't book, open, check out, or complete a reservation, and where to change it.
  • Sky Schedule help articles, plus a web search for general questions.

Actions Arlo can take after you confirm

  • Book a reservation. Arlo drafts the booking with the customer, instructor, aircraft, and time. Click Confirm (or reply "yes") to book it, or Cancel.
  • Email one person. Arlo writes an email to a customer, instructor, or lead and shows the draft. Click Send Email or Cancel. Admins and instructors only.
  • Email everyone. Arlo drafts an announcement to all students or all instructors and tells you how many have an email on file. Same buttons.
  • Add reservations to your calendar. Pick Google, Apple, or Outlook.
  • Build onboarding. Arlo drafts a customer or instructor onboarding form. Click Publish onboarding to make it live. Publishing replaces the current form for that role. Admins only.
  • Build your CRM lead form. Arlo shows a preview. Click Publish form to get the link and embed code. Admins only.

Nothing is booked, sent, or published until you confirm.

What Arlo won't do

  • Create, charge, refund, or void invoices, or change anything in billing.
  • Edit, cancel, or delete records outside the actions above.
  • Give regulatory, legal, or medical advice, make airworthiness calls, or recommend solo endorsements.
  • Look at another school's data.
  • Make up a number. When it doesn't have the answer, it says "I don't have that in my current data."

Daily and monthly limits

  • Each person can send 5 prompts to Arlo a day. The count resets at midnight in your school's time zone.
  • Short replies to something Arlo already proposed, like "yes", "send it", or "cancel", don't count. Neither does a prompt that failed.
  • Your school also has a monthly Arlo limit. If it's reached, you'll see Monthly AI budget reached, and Arlo is available again next month.
  • Asking an AI assistant in Team Chat uses AI replies too, and those are limited per person per day as well.

Troubleshooting

  • "Daily limit reached." Wait until midnight in your school's time zone. You can still confirm a draft Arlo already made.
  • "Only school admins can publish onboarding through Arlo." Ask an admin, or build the form in Settings > Customer Onboarding. See Build an Onboarding Flow.
  • Arlo booked or drafted for the wrong person. Cancel the draft and ask again with the person's full name.
