Maintenance is where your team sees the condition of every aircraft and works the items that keep them flying. Squawks, work orders, and inspections each have a tab, and they connect: a squawk becomes a work order, and completing the work order can resolve the squawk and complete an inspection.

The numbers at the top

On a larger screen, four cards sit above the tabs: Operational aircraft, aircraft In Maintenance, Open Squawks, and Inspections that are overdue or due soon. Click View on the inspections card to jump to that list.

The tabs

  • Fleet Status: one row per aircraft with Hobbs, Tach, Location, Last flown, Next inspection, and Squawks. Admins and instructors can update an aircraft's Location.
  • Work Orders: open and finished work. Create Work Order starts one, and Export PDF gives you a record of resolved work.
  • Squawks: every reported problem. Create Squawk logs a new one, and Export Squawks downloads the list.
  • Inventory: parts, tools, supplies, and their stock. See Track Parts and Supplies Inventory.
  • Database: one card per aircraft with its inspection count and anything overdue. Open Database goes to that aircraft's records.
  • Inspections: every inspection across the fleet with its status.
  • Flight Logs: the completed-flight sheet with Hobbs and Tach for each flight. See Export the Flight Sheet.
  • Comments: notes for the maintenance team. Click Add Comment, pick the Aircraft, and enter a Title and Comment. Others can reply.

How the pieces fit

  1. Someone logs a squawk, from Maintenance or after a flight. A grounding squawk puts a red marker on the aircraft and makes the dispatch report a no-go. See Log a Squawk.
  2. Open the squawk and click Make Work Order. Block the schedule while the aircraft is in the shop.
  3. When the work is done, click Mark Complete on the work order. The squawk is resolved, the maintenance blocks come off the schedule, and if you picked an inspection, it's marked done and its next cycle starts. See Create and Complete a Work Order.
  4. The aircraft goes back to Available unless another open work order or grounding squawk still keeps it down.

Email an inspection status report

Admins and office admins can email a PDF of where every inspection stands.

  1. Open the Inspections tab and click Run Report.
  2. Choose One-time or Scheduled.
  3. Pick the Recipients and the Aircraft, or All aircraft.
  4. For a schedule, set the Schedule name, the Frequency (Daily or a day of the week), and the Time. It runs in your school's time zone.
  5. Click Preview to check it, then Run & Email for a one-time report or Save Schedule for a repeating one.

A saved schedule shows above the inspections list. Click Edit on it to pause it, change it, or delete it.

Who sees Maintenance

Admins and office admins always do. Instructors and customers need Can View Maintenance. See Roles and Permissions Overview.

Troubleshooting

  • A tab is missing. Some tabs depend on your permissions. Ask an admin to check yours.
  • Run Report isn't on the Inspections tab. Only admins and office admins can run inspection reports.
  • The aircraft is still down after the work order. Another work order or grounding squawk is open on it.
