Create a Leaseback Report for an Aircraft Owner

If you fly aircraft that belong to owners, a leaseback report gives each owner a PDF for a period: the flight log, hours, revenue, expenses, and maintenance on their aircraft. Set up the owner and expenses once, then generate the leaseback report whenever you settle up.

Open Leaseback Reports

  1. Open Aircraft and click Manage Aircraft on the owner's aircraft.
  2. Choose the Leaseback Reports section.

Only admins and office admins see this section, and simulators don't have one.

Add the owner

  1. Click Add Owner.
  2. Enter the owner's Full name, and their Company name and Email if you have them.
  3. Enter the Owner share (%).
  4. Click Save owner.

Log expenses

  1. Click Add Expense.
  2. Choose the Type: Insurance, Fuel, Maintenance, Hangar, or Other.
  3. Enter the Amount (USD) and the Effective from date.
  4. Pick the Cadence: One-time, Daily, Weekly, or Monthly.
  5. Add a Description and click Save expense.

Receipts count too. In the aircraft's Database, click Add to Database, choose Receipt, and enter the total. It counts toward leaseback expenses when it falls in the reporting period.

Generate the report

  1. Click Generate Report. Build Leaseback Report opens with 4 steps.
  2. Reporting period: pick the Date range, such as Last month, This month, or Custom. Flights, Hobbs hours, invoices, and revenue all use this range. Choose the Owner, or No owner. Click Next.
  3. What to include: tick the parts you want:
    • Flight log: completed flights with Hobbs, pilot, and instructor.
    • Invoice detail: paid invoices with Hobbs, instruction hours, and line items.
    • Expenses: the leaseback expenses for this aircraft.
    • Maintenance history: squawks and maintenance records in the range.
    • Hour breakdown: rental, maintenance, owner, and instructor hours per flight.
    • Under Revenue: Flight time, Flight instruction, and Ground instruction.
  4. Attach documents: tick any files from the aircraft's database to attach, such as receipts or inspections.
  5. Generate report: click Download PDF.

The PDF downloads to your computer, named with the tail number and period. Send it to the owner with your statement.

Tips

  • Keep the aircraft's Hourly Rate and meters current so the flight log and revenue match your invoices. See Edit Aircraft Details and Hourly Rates.
  • To change an owner or expense, click Edit on its row. The window also has Remove owner or Remove expense.

Troubleshooting

  • Leaseback Reports isn't on the aircraft. You need to be an admin or office admin, and the asset can't be a simulator.
  • "Generate failed." Check that a Custom range has both dates, then try again.
  • No documents to attach. Upload files to the aircraft's Database first.
