Build an Onboarding Flow

Onboarding is the checklist a new customer or instructor completes before they fly: upload their ID and medical, sign your rental agreement, answer a few questions, and save a card. You build it once, and everyone who signs up gets it.

Customer onboarding is set per customer category, so student pilots and renters can have different forms.

Steps

  1. Open Settings from the profile menu at the bottom of the sidebar.
  2. Choose Customer Onboarding (or Instructor Onboarding).
  3. For customers, pick the category in the Category dropdown at the top. To start from another category's form, use the menu next to it and choose Duplicate from.
  4. Optional: choose a Banner Image for the top of the form.
  5. Under Sequence, click Add Step and pick a step type:
    • Document upload: for an ID, certificate, or other file. Turn on Has expiration date if uploaders should enter an expiry date.
    • View and sign: upload a PDF or image, such as your rental agreement, and choose a Signing style: Signature box (current), Click to sign, or Draw signature on document.
    • Short answer, Long answer, Multiple choice, and Checkbox for questions.
    • Attached link to point people to a web page.
    • Signature for an agreement typed into the form.
    • Card on file to collect a payment card.
    • Medical certificate (instructor onboarding only), with a Medical class preset.
  6. Fill in each step and use the Required toggle on any step people must finish. Use the arrows to reorder steps.
  7. Turn on Required for all (customers in that category, or instructors) if onboarding must be finished. Click Configure and turn on Block dashboard until complete to hold their dashboard until they're done.
  8. Click Save and Publish.

The preview on the right shows what people will see. The builder also saves as you work.

Changing a live form

After you add steps to a form people have already filled out, use Apply Form Changes and click Apply:

  • Show new fields only keeps existing uploads and answers. People only complete the new steps.
  • Start over for everyone clears saved answers and marks everyone incomplete.

Block booking until onboarding is done

In Settings > General:

  • Onboarding before scheduling hides customers with unfinished onboarding from reservation search.
  • Onboarding before checkout blocks aircraft checkout until the customer finishes onboarding.

Where people fill it out

Customers open Documents > Onboarding in their dashboard and click Submit Onboarding when they're done. Onboarding can't be completed in the iOS app.

Troubleshooting

  • "No document yet." A View and sign step without a file blocks everyone from finishing. Upload the document.
  • The form doesn't appear for a customer. Check their customer category. Each category has its own form.
