Set Up Activity Types and Booking Rules

Every reservation has an activity type, such as a dual flight, solo, discovery flight, or ground lesson. Activity types decide who goes on the booking, whether it needs an aircraft, and what has to be on file first. Booking rules set limits like how far ahead people must book.
Edit your activity types
- Open Settings > Activity Types.
- Click a type to expand it. Depending on the type, you'll see:
- Who's on it: Who is involved (for example Instructor and customer, Customer only, or Anyone), whether it Uses an aircraft or needs No aircraft, and Who gets invoiced.
- Rate: an optional discount or flat hourly rate for this type, and Who gets this rate.
- Requirements: documents or endorsements a person needs before flying this type.
- Click Edit to rename a type, change its schedule color, or Hide activity type so it no longer shows in the booking form.
Changes save automatically. Hidden types move to Hidden, where Show in Picker brings them back. How These Types Work at the bottom sums up what each type does.
Add a custom activity type
- Click Add Activity Type.
- Enter a Name, such as Stage check.
- Choose Who is involved and Aircraft.
- Click Add Activity.
Add a requirement
Inside a type's Requirements, add a document or endorsement requirement and set Who is it required for? Document requirements can use Has expiration?, and endorsement requirements can use Valid for (days). Turn on Ignore If Instructor on Reservation when the requirement only matters for solo flights.
When someone books without a requirement on file, the booking form shows Activity requirements incomplete. Staff can override it and book anyway, and the gap shows again in the preflight check and at check-out. See Add an Endorsement.
Turn on booking rules
Open Settings > Scheduling. Each rule has a switch, and most have Configure:
- Flight rules: makes VFR or IFR a required choice on every new reservation.
- Advance booking: flights must be booked at least Notice (hours) ahead.
- Cancel notice: customers can't cancel online inside the Notice window (hours) you set.
- Finish open flights: sets the Open flights allowed before someone books another.
- Block overdue aircraft: choose Block booking or Allow booking, block check-out / check-in for aircraft with an overdue inspection. Under Configure, set Apply block to, Allow override for, and Inspections that can be overridden. Only overdue inspections count. Due-soon ones don't.
- Find a Time: lets customers request times. See Approve Find a Time Requests.
Tips
- Hide types you never use so the booking form stays short.
- Reset clears your custom types and restores the standard order. Existing reservations keep the activity type they were booked with.
Troubleshooting
- A type is missing from the booking form. Check Hidden in Settings > Activity Types and click Show in Picker.
- Block overdue aircraft isn't blocking anything. Click Configure and select at least one activity type under Apply block to.
