Set Instructor Billing and Payroll Rates

Sky Schedule keeps two kinds of instructor rates. Billing rates are what customers are charged for instruction, and they fill in invoices. Take-home rates are what you pay the instructor, and they're used on payroll reports. If your school uses Timecard, there's also an hourly timecard rate.
Set billing rates (what customers pay)
- Open Instructors and click the instructor.
- Expand Payment Rates.
- Enter the Default flight rate and Ground rate per hour.
- To charge a different flight rate in a particular aircraft, such as a twin, enter it next to that tail number. Leave it as is to use the rate shown in the box.
- Click Save rates.
These rates fill in the Flight Instruction and Ground Instruction lines when that instructor's flights are invoiced.
Set take-home rates (what you pay)
- Open Reports > Payroll and click Configure. The Configure Payroll window opens.
- Under School defaults, enter Flight instruction / hr and Ground instruction / hr. Miscellaneous / hr is optional and uses the ground rate when blank.
- To pay more for customers an instructor brought in, click Incentive rates and enter Incentive flight / hr and Incentive ground / hr.
- Under Per-instructor rates, enter Flight / hr, Ground / hr, or Misc / hr for anyone paid differently. Blank uses the school default.
- Click Save.
New payroll reports use these rates. Reports you already ran keep the rates they were run with.
Incentive rates apply to flights with customers whose Brought in by is set to that instructor. Set it on the customer's profile under Account > Edit Profile.
Set a timecard rate
If Timecard is turned on, open Timecard > Overview, expand the instructor, and click Edit Rates. Enter the Timecard rate and click Save rates.
The Flight rate and Ground rate in that window are the same billing rates as Payment Rates on the profile. Changing them in one place changes both.
Tips
- Misc hours come from instructor activities on the schedule, not from flights, and are paid at the misc rate.
- Check the rates on a new instructor's card in Instructors before their first flight is invoiced.
Troubleshooting
- An invoice has no instruction line. The instructor has no billing rate, or no Flight Instruction or Ground Instruction hours were entered when the flight was completed.
- "Enter flight and ground rates." Both school default take-home rates are required before you can save.
- Payment Rates isn't on the profile. Only admins and office admins can see and change instructor rates.
