Create a Training Program

For Admin, Instructor

A training program is your syllabus in Sky Schedule: a course like Private Pilot, broken into lessons, with steps your instructors grade each time. You can upload the PDF syllabus you already use or build the program by hand.

Upload a PDF syllabus

  1. Open Training and go to the Programs tab.
  2. Click Upload Program.
  3. Drop the file on Drop your syllabus PDF here, or click to browse. You can also choose a PDF from Documents.
  4. Wait while Sky Schedule reads it. It pulls the title, certificate, Part 61 or 141, lessons, and steps from the text, and uses AI to fill gaps.
  5. When it says how many lessons were imported, review the program on the right. Fix anything that came through wrong.
  6. Click Save Program.

The original PDF stays attached to the program as the Source syllabus.

Build a program by hand

  1. In Training > Programs, click New Program.
  2. Enter the Certificate, such as Private Pilot Certificate, and the Title, such as Private Pilot.
  3. Choose the Regulatory part: Not specified, Part 61, or Part 141.
  4. Write the Program overview for students and CFIs. Click Generate with Arlo to have AI draft or polish it.
  5. Under Lessons, add the first lesson:
    • A lesson title, such as Pattern work.
    • Training type: Flight training or Ground training.
    • Syllabus / what to teach: objectives, maneuvers, and completion standards.
    • Pre-lesson prep: reading or homework before the lesson.
    • Steps within this lesson (optional): click Add step for each item the instructor grades, and choose whether it's graded with a score from 1 to 5 or Satisfactory / Unsatisfactory.
    • Planned time (optional): planned flight and ground hours, useful for Part 141 syllabi.
  6. Click Add lesson for each lesson in order.
  7. Click Save Program.

Edit, copy, or delete a program

Click a program in the list to open it. Click Duplicate to copy it as a starting point for a similar course. The More menu has Edit and Delete. Sky Schedule checks for enrolled students before a program is deleted.

Tips

  • Break lessons into steps that match what your instructors actually grade, such as steep turns, slow flight, and stalls. Step grades are saved with each lesson log.
  • Start from a copy when you build a similar course, like an instrument program with the same ground lessons.

Troubleshooting

  • "Could not import syllabus." The PDF may be a scanned image with no text. Try a text-based PDF, or build the program by hand.
  • Lessons came through in the wrong order or merged. Edit them in the review before you click Save Program.
  • "Add at least one lesson." A program needs one or more lessons before it can be saved.
